CANCELLATIONS AND MISSED APPOINTMENTS
We understand that emergencies happen — and of course, your health and family come first. That said, our schedule is often fully booked, and late cancellations or reschedules leave us unable to offer that valuable time to other patients in need and/or on the waitlist.
Much like other healthcare settings, this time is reserved specifically for you — therefore, all cancellations within 24 hours, late reschedules, or no-shows will be charged.
*Please keep in mind that weekends don’t count toward the 24-hour window. For example, if your appointment is on a Monday, please let us know by Friday to avoid a late cancellation fee.
As a courtesy to our team and other patients waiting to be seen, appointments changed or canceled with less than 24 hours’ notice will be charged the full treatment fee.

PAYMENT AND INSURANCE POLICY
Payment at Time of Service
Payment in full is required at the time services are rendered. We accept cash, credit/debit cards, and HSA/FSA cards.
Insurance & Out-of-Network Benefits
If your insurance plan includes out-of-network acupuncture benefits, we may submit claims on your behalf as a courtesy only. Submission of claims does not guarantee reimbursement. Any reimbursement received from your insurance company will be processed and refunded to you accordingly, less any applicable fees or adjustments. We do collect co-pays and deductibles when applicable.
Here is a partial list of the insurance carriers which usually cover acupuncture:
Insurance Payments Sent to Patient
If your insurance company sends payment directly to you, you agree to remit the full insurance payment to HeCares immediately. Insurance payments are considered payment for services already rendered. Failure to forward insurance payments received may result in account suspension and additional administrative action.
Deductibles & Patient Responsibility
You are fully responsible for all charges incurred, including deductibles, co-insurance, non-covered services, or denied claims. Insurance benefits are a contract between you and your insurance carrier, not with HeCares.
Past-Due Accounts
Any balance unpaid for more than 90 days will be automatically referred to a collections agency, in accordance with California law. Any associated collection fees may be added to the outstanding balance.
No Guarantee of Coverage
We do not verify insurance benefits as a guarantee of payment. Coverage information provided by your insurer is not a promise of reimbursement. By receiving services at HeCares, you acknowledge and agree to this payment and insurance policy.
